Creating a Board Meeting Schedule
A board meeting schedule is a guideline to the entire meeting that helps keep the discussion on track. Board meetings can sometimes diverge from the agenda to discuss topics that are important for the individual members, but they are not advancing the goals of the company. It is best to remain focused on the agenda items set out by the chair of your board, and make sure that nobody exceeds their time limit. It’s also beneficial to have multiple participants in the meeting. If one person is responsible for taking minutes while the other leads the discussion, both participants can monitor the pace of the meeting and redirect it if needed.
Based on the agenda of the board, it may include new items, old or routine matters, reports, and other board documents. The board may also review announcements and updates from committees. It is important to circulate the board package at least a day or two prior to the meeting to ensure that board members are able to review it in advance and bring any concerns, corrections or queries to the secretary of the board prior to the start of the session.
The final item on the agenda should be reserved for announcements. It could range from thanking a team member for an excellent job to expressing condolences to any other important information. It’s also an excellent time for attendees to suggest new agenda items for the board to consider for the next meeting. After everything is completed the chairperson will then officially end the meeting, and will announce the formal time of adjournment in order that it can be recorded in the minutes. The date for the next board meeting is made public to give board members a chance to mark it on their calendars.
